Manual: writing and organizing

How to create, edit, organize, share and recover documents.

Collections: where documents live

A collection (shown as projeto, project, in the UI) groups the documents of an area or a project. Create one with the Novo projeto (New project) button in the sidebar.

  • Short code (sigla): 2 to 6 letters or digits (e.g. HUB). It becomes the prefix of story and card codes, such as HUB-7.
  • Group: a label that groups collections in the sidebar, for example by client. Create one with Novo grupo (New group).
  • Configurar projeto (Configure project — the collection’s gear icon): general details, repositories and links, code templates, document types, agents and access.

The collection page shows pinned documents, the list with a filter by type and, when an integration is set up, open MRs and the GitLab changelog.

Writing

Type / on an empty line to open the block menu. Start typing the name to filter (the menu accepts the word without accents):

BlockWhat it’s for
Titulo 1, 2 e 3Headings 1–3: text structure (and the presentation slides)
Lista, Lista numerada, Lista de tarefasBulleted, numbered and task lists; tasks can be nested
CitacaoHighlights a quote
Aviso (callout)A highlighted block, in the informational tone
Codigo, Diagrama (Mermaid)Code and diagram; the diagram is drawn from the text
TabelaTable with resizable columns
Bloco recolhívelCollapsible block: hides details until someone opens it
Imagem (URL)Shows an image from an address
Anexar arquivoAttach file: stores the file in the wiki, with a download link
Embed (YouTube, Figma, Loom, URL…)Shows content from another service inside the document
Quebra de paginaPage break: controls where the PDF and printout break pages

Useful shortcuts:

  • @ or [[ cites another document and creates a link to it. The cited document then shows, under Mencionado em (Mentioned in), where it was cited from.
  • Drag a block by the handle on its left to reorder it.
  • Select a passage to format it, comment, Melhorar com IA (Improve with AI) or Gerar diagrama do trecho (IA) (Generate diagram from passage) — flowchart, sequence, class, entity-relationship or mind map.
  • Drag a file into the text, or paste an image, to store it in the wiki.

The document saves on its own, and you see who else is on the page. When someone else saves:

  • if you have no pending change, the text updates on its own;
  • if you do, Atualizado por outra pessoa (Updated by someone else) appears. Recarregar (Reload) brings in their version and discards what you haven’t saved yet.

There is no simultaneous letter-by-letter editing: whoever saves last writes their own text. Agree on who edits, so one save doesn’t land on top of another — and if it happens, the previous version is still in the history.

Board mode and mind map

Each document can be a page or a board (Excalidraw, free-form drawing). Switch the mode at the top of the document. On the board, the AI generates the mind map of the page’s content.

Document types

A type (or template) shapes the document: the starting text shown on creation and the instructions the AI follows when drafting. Choose the type when creating the document or later, in the document’s selector. The collection filters and counts documents by type.

Comments, versions and tags

  • Comments: select a passage and comment. Comments live in the side panel.
  • Versions: every save becomes a version. In the side panel, compare two versions and restore the one you want — the restore becomes a new version, so nothing is lost.
  • Tags and favorites: mark documents to find them later. Favorites sit at the top of the sidebar.

Press ⌘K (Ctrl+K on Windows and Linux) and type. Search looks through all content and ignores accents. Inside a document, ⌘F (Ctrl+F) searches the text itself.

Share, export and present

  • Compartilhar com link público (Share with public link — the globe at the top, for editors): creates a read-only link for people without an account. The link shows the title and an excerpt when pasted into WhatsApp, Slack or Telegram. Undo it whenever you want.
  • In the ⋮ menu: Exportar PDF, Exportar Word (.docx) and Imprimir (Print).

Printing and the PDF use the header, footer and margins from Configurações → Impressão (Settings → Printing).

The Apresentar (slides) (Present) button, at the top of the document, shows the page as full-screen slides. The document title becomes the cover, and each heading in the text (or a --- line) starts a slide. Navigate with the arrow keys or the space bar, f toggles full screen and Esc exits. The public link also offers the presentation.

Import

  • Into a document: in the ⋮ menu, Importar .md. Note: the file replaces all the text of the open document (the previous version stays in the history).
  • Many documents at once: in Configurações → Importar (Import), upload a Markdown .zip, the Confluence HTML export or an export from another Next Wiki, and pick the target collection.

Trash

Mover para a lixeira (Move to trash, ⋮ menu) takes the document out of the tree without deleting it. The Lixeira (Trash) page shows the 200 most recent; there you restore or delete for good. Permanent deletion can’t be undone.
